Office Manager

Location: Bridgewater, New Jersey

Part-time, non-exempt

IPValue Management, Inc. is part of the IPValue Management Group. 

Our Bridgewater, New Jersey, office is composed of a cross section of legal, licensing and members of our technical team. We are seeking someone to join our team to manage the office and support several executives. This position will require being on-site presence four (4) days per week.

The Office Manager is responsible for general administrative duties including, but not limited to:

  • Executive Support, primarily supporting the SVP of Legal and VP of Licensing with calendar management and conference calls; making travel arrangements; and photocopying, scanning, and filing.
  • Perform administrative functions such as assisting in maintaining the office by scanning and filing documents in document management system, calendaring deadlines, and performing word processing functions, filing (physically and electronically) using online services to track IPR’s and Litigations and file updates in document management system. Retrieve patent file histories using PTO website.
  • Other members of the NJ office team as well as other locations:
  • including, scheduling meetings and candidate interviews, package mailing/tracking, expense reports, vendor invoice submission to Accounts Payable, time tracking in Replicon.
  • Office Management and Administration
  • Format letters on Microsoft Word for signature (either in person or remote); mail/fedex these to worldwide destinations and track receipt; and electronically file these in document management system.
  • Purchase and ship reverse engineering equipment for the technical team as needed. 
  • Act as back-up EA to other company EA’s as needed.
  • The primary point of contact for facility issues, including security and maintenance.  Maintain general phone line, distribute mail, maintain public areas, order/stock office & kitchen supplies, and coordinate equipment maintenance/repair.
  • Coordinate all company events for this office location, including weekly luncheon.

Requirements and Qualifications

  • Ability to work collaboratively in the existing team environment.
  • Must manage highly confidential information with professionalism and unquestionable integrity
  • Ability to shift focus, perform under tight deadlines, and maintain patience in high pressure situations
  • Ability to work independently, be resourceful, organize and prioritize workload, and adapt to changing priorities
  • Excellent interpersonal, organizational, planning, verbal and written communication skills including spelling, grammar and proofreading skills
  • Advanced knowledge of Microsoft Word, Microsoft Office (Outlook, PowerPoint, Excel), and Adobe
  • Results-oriented, self-starter, with a high level of initiative
  • Willingness and enthusiasm to learn new skills and contribute to our office and our projects in new ways

Hours, Pay, and Benefits

  • Expected to work 30 hours per week
  • Hourly rate of pay $30.00 - $45.00, pending experience
  • Eligible for company health insurance including medical, dental, vision, life insurance, and disability as long as an average of 30 hours worked per week
  • Eligible to participate in the company’s 401k
  • Granted three (3) weeks of accrued vacation time off each calendar year
